Payment Terms & Conditions

Booking Confirmation

​

Your wedding date at The Greenhouse Pavilion is secured once a signed Wedding Booking Agreement has been received together with the required 20% booking deposit.

Dates cannot be held without both a signed agreement and the booking deposit.

 

Payment Schedule

​

The following payment schedule applies to all wedding bookings:

• 20% Booking Deposit – Due upon signing the Wedding Booking Agreement to secure your wedding date.

• 40% Progress Payment – Due 90 days prior to your wedding date.

• Final Balance (40%) – Due 30 days prior to your wedding date.

All payments must be received by the specified due dates. Final planning, supplier coordination, staffing, and event preparations will only proceed once payments are up to date.

Accommodation Bookings

Please note: Onsite accommodation is not automatically reserved as part of your wedding venue booking unless its listed in the quote.

To ensure your guests have access to accommodation at Nature Domes, all accommodation bookings must be confirmed and paid in full within seven (7) days of your wedding booking deposit being paid.

​

As our accommodation is available to the general public and bookings are accepted on a first-come, first-served basis, we cannot guarantee availability after this seven-day period. Any accommodation not booked and paid in full within this timeframe may be released for public bookings.

We strongly encourage you to advise your guests to secure their accommodation as early as possible to avoid disappointment.

Late Payments

​

If payment is not received by the due date, The Greenhouse Pavilion reserves the right to:

• Suspend planning and supplier coordination until outstanding payments have been been received.

• Cancel the booking if payment remains outstanding after written notice.

• Retain monies already paid in accordance with the Cancellation Policy.

Guest Numbers

Final guest numbers must be confirmed ( one month) prior to your wedding.

This number will be used for staffing, seating, catering, and event planning and cannot be reduced after this date.

Additional guests may only be accommodated where venue capacity permits and additional charges may apply.

Variations

​

Any changes to your booking, including guest numbers, styling, catering, accommodation, ceremony locations, or event timings, must be submitted in writing.

While every effort will be made to accommodate changes, approval cannot be guaranteed and additional charges may apply.

Cancellation Policy

​

Should you need to cancel your booking, the following terms apply:

• The 20% booking deposit is non-refundable.

• Cancellations more than 90 days prior to the wedding may receive a refund of any payments made beyond the booking deposit, less any costs already incurred.

• Cancellations within 90 days of the wedding will forfeit the 20% booking deposit and the 40% progress payment.

• Cancellations within 30 days of the wedding require full payment of the venue hire, as supplier commitments, staffing, and event preparations have already been confirmed.

If your cancelled wedding date is successfully rebooked, The Greenhouse Pavilion may, at its sole discretion, offer a partial refund or credit, less administration costs and expenses already incurred.

Payment of the booking deposit confirms that you have read, understood, and accepted these Terms & Conditions.
